Requirements

  • Minimum 2-year degree for Business/Secretarial training at an accredited school required.
  • High Level of competency in computer technology specifically with programs within Microsoft Office required.
  • Strong written, electronic and verbal communication skills required.
  • At least 3 years’ experience as Executive Secretary or Administrative Assistant required
  • Strong ability to multi-task in a very busy executive setting required.

Work Hours

We are seeking a full-time (40 hours/week) Executive Assistant to work Monday- Friday, 8:00am- 4:30pm.

Job Summary

Performs executive-level secretarial duties for and under the general direction of the President/CEO and in conjunction with the core values of the organization and the professional practices encompassed within the department. 

Essential Job Functions and Responsibilities

This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities as management may deem necessary from time to time.

  1. Prioritizes and handles all corporate correspondence for CEO.
  2. Acts as a point of contact between administration and external groups, with the ability to defuse difficult situations as needed.
  3. Makes independent decisions in the absence of the CEO. Communicates to appropriate personnel accordingly.
  4. Manage the CEO’s calendar and other business activities and/or travel arrangements.
  5. Provides assistance and oversight on projects for administration and the board of directors as needed.
  6. Independently manages and updates the organization contract software system. Makes policy and procedure changes as needed.
  7. Uses independent judgement skills in working with leaders and committee members to suggest procedural changes and agenda items for meetings.
  8. Uses critical thinking and discretion on matters of significance or confidentiality.
  9. Prepares materials for monthly Board of Directors meetings and maintains Board meeting minutes in Administrative Office.
  10. Maintains flexibility of hours to accommodate meetings and activities in conjunction with the needs of the business.
  11. Coordinates leadership meetings and development institute meetings.
  12. Attends various meetings to take the meeting minutes.
  13. Composes and types a variety of correspondence, memoranda and reports for the President/CEO. Oversees projects and events as needed.
  14. Coordinates special meetings for the Board of Directors, Committees of the Board and special corporate functions
  15. Attends and prepares minutes of the Departmental and Employee meetings.
  16. Prioritizes work assignments and projects received from the President/CEO, and others. Provides research and administrative support for special projects.
  17. Adheres to Southwest Health’s value-based behavior standards.
  18. Understands and adheres to Southwest Health compliance and HIPAA standards as they appear in the Corporate Compliance Policy, Code of Conduct and Conflict of Interest Policy.
  19. Performs other duties and responsibilities as requested or required.
